NGO Media Relations: How to Get Into the News on Zero Budget

ЗАГЛАВНЕ ФОТО

NGOs often believe that newsroom doors are opened with money. In reality, they are opened by substance — facts, figures, and living stories. And today, opening these doors is easier than it was three years ago.

What is news to a journalist, and what is not

News is not what happened in your organization; it is what changes the lives of the publication's audience. Another training session or a director's reflections on the importance of the mission are not news.

According to Muck Rack, 88% of journalists immediately delete emails that are irrelevant to their topic, and 71% delete those that are overly promotional. At the same time, 66% admit that story ideas come directly from materials sent by communications professionals. The problem isn't that they don't want to hear from you — most emails simply fail to pass the first filter.

Working criteria for newsworthiness: impact, timeliness, partner prominence, local relevance, and unusual solutions.

Why getting into the news is easier now than it seems

The "News Deserts in Ukraine 2.0" study by the Media Development Foundation showed that only 157 out of 1,434 local newsrooms meet independence criteria. The Institute of Mass Information adds that many local media outlets republish press releases almost without editorial processing.

This is bad news for the media market, but good news for you: quality content tied to a specific community stands a chance of being published verbatim. Poor content won't be published at all.

Three free formats that work

Press release. 69% of journalists prefer emails under 200 words. The first two sentences should answer "who, what, where, when," and "why right now." Keep the subject line short: an analysis of over 400,000 emails shows that subject lines ranging from one to five words perform best. Put the text directly in the email body, not as an attachment.

Expert commentary. A professional response to the news of the day takes 20 minutes and works better than creating your own media angle. There's only one condition: the speaker must respond on the same day.

Data as an angle. Upon a request for public information, the custodian must respond within five working days (48 hours if the information is needed to protect human life or freedom, or concerns environmental status). Open registries turn dry statistics into exclusive stories.

Press events: dead worldwide, but working in Ukraine

International 2026 PR reviews advise forgetting about press conferences, claiming journalists don't attend them anymore. We disagree — but a press event only works under three conditions.

A permanent hub instead of venue rental. As the external press office for Razom for Ukraine, our team has organized dozens of press conferences, presentations, and briefings — most held at Media Center Ukraine hubs in Kyiv, Lviv, and Odesa. The cumulative effect is more important than a single event: journalists get used to the organization as a source and start reaching out on their own.

A real human story instead of reading a release out loud. In July 2026, we organized a briefing for Global Prize winners — schoolchildren from Donetsk region who won three top awards at a competition in the US. Camera crews from "1+1", "We — Ukraine", and "News.LIVE" arrived. The story of children from Kramatorsk and Sloviansk required no budget — just the right presentation.

The event amplifies pitches; it doesn't replace them. Hundreds of articles in print, broadcast, and online media have been published about Razom's work during our cooperation — this is the result of a system, not isolated events.

Contact database: quality over quantity

Purchased media lists have lost their value. Your benchmark is the "Map of Recommended Media" by IMI and Detector Media: in the first half of 2026, it included 305 outlets, mostly regional ones.

To reach international donors, a separate channel works best — platforms where journalists post requests for expert quotes, such as HARO (now part of Featured) and Qwoted. A quick note: around 78% of queries there come from UK media, and another 12% from US outlets.

Four mistakes that keep you out of the news

•

Silence syndrome. Silence during a crisis does more harm than the crisis itself: speculation fills the vacuum.

•

AI-generated emails. 53% of journalists object to such emails, and almost half spot them right from the first paragraph.

•

Self-praise over substance. Quality media want analytical substance, not self-congratulatory releases.

•

Bold claims without documentation. Every stat needs a link to its original source.

Where to start this week

Select five outlets your audience actually reads, find journalists who cover your topic, and send each a personalized pitch under 200 words with local data relevant to your region. It costs nothing and yields initial results within two to three weeks. If your team lacks media experience, basic skills can easily be taught in a single day — we conduct such trainings for NGOs.

Once this process is in place, the next step is to amplify it with guaranteed placements on specialized platforms and influencer collaborations. We build both streams for organizations — from running a press office to placements in media and with bloggers — and we always start with organic, budget-free approaches.
